Job Description
Performs highly advanced (senior-level) professional assistance work for the Director of the Office of Capital and Forensic Writs, the Texas post-conviction public defender, and office leadership. Work involves supporting the mission of the Office by providing high-level assistance to office leadership in areas of executive, operations and programmatic support. In addition, the person filling this role may assist and perform work in different staff services functions such as human resources, records management, office management, and purchasing. Works under limited supervision with considerable latitude for the use of initiative and independent judgment.

Executive Assistant Essential Job Functions

Executive and Operations Support
-
Helps coordinate day-to-day activities and schedule of Director and provides administrative support.

Provides advanced support, coordinates and organizes day-to-day office operations and activities
-
Communicates objectives, tasks, and decisions to staff on behalf of office leadership.

Supports the organization and facilitation of travel logistics and program events by managing logistics and travel.

Oversees the procurement of office materials, furniture, and supplies to ensure operational efficacy and office needs are consistent met.

Handle IT equipment requests and coordination with IT department of the Office of Court Administration.

Maintain OCFW website.

Hiring Coordinator.

Handle correspondence with applicants, support the work of the OCFW hiring committee, disseminate job postings

Assist with on-boarding new hires (processing forms, ordering business cards, coordinating IT equipment)

Serve as OCFW liaison with different stakeholders.

Program Assistance
-
Assist with the preparation of OCFW legislative materials and other external reports, and design materials with supplied content.

Assist with the submission of required reports; serve as office coordinator for certain required functions (e.g., continuity, risk management, etc.)

Oversees verbal and written communication with internal and external stakeholders, ensuring all correspondence is timely, professional, and error-free;

Compiles and performs detailed analyses of program data and prepares periodic and ad hoc documents

Assist staff in developing and maintaining operational program documents;

Develops and maintains filing, record-keeping, and records management systems.

Exercise discretion in disseminating information and confidentiality on highly sensitive information.

Performs other work as assigned.
Candidate Profile
Minimum Qualifications
-
Graduation from an accredited four-year college or university. Experience and education may be substituted for one another.

Two years of full-time administrative experience.
-
Proficient in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook, etc.) and Adobe.

Preferred Qualifications

Graduation from an accredited four-year college or university.

Experience delivering administrative assistance or office managerial work.

Experience managing complex cases or projects and handling multiple tasks simultaneously.

Experience providing strong attention to detail and maintaining accurate records in a fast-paced corporate, legal or government environment.

Experience maintaining employer websites, social media or other public-facing methods of communication.

Employment Conditions

Ability to operate standard office equipment and software;

A valid driver’s license, and the willingness to operate a motor vehicle for client-representation purposes;

Ability and willingness to travel throughout Texas and, on occasion, out of state; occasional travel is required for this position.
